Buying hotel fabric in volume: What to prepare before requesting prices
For volume hotel fabric purchases, suppliers need enough detail to check each code and specification. Total metres are a starting point, but do not establish pricing and delivery arrangements by themselves.
Break the total into specifications
Separate lines by fabric code, plain or stripe surface, width and metres. Where several properties or finished product groups are involved, identify their intended use. Do not combine different widths into one quantity and request a single undifferentiated price.
At VTEX, T233 Cotton is plain white only at 240cm. T250 CVC offers plain white and white 3cm stripes in 240/260/280cm widths; T300 CVC offers both in 260/280cm. Specify the correct options from the first enquiry.
Confirm the sample before expanding the order
Clarify whether the sample identifies the code or supports assessment for a specific use. Where testing is required, agree on methods and evidence before deciding. A large quantity is not a reason to skip material verification.
Record the selected code and sample in the order file. If material changes, update specifications and obtain agreement from the relevant parties rather than changing only the price list name.
Assess supply capability for the actual order
VTEX reports over 2 million metres of stock and strategic cooperation with three suppliers in Zhejiang, Hebei and Xinjiang. Each partner has a capacity of 500,000 metres per day, as confirmed by the business. These figures describe the sourcing network.
Availability for a specific order still depends on code, width, colour and production scheduling. Do not convert factory capacity into immediate VTEX delivery quantities or assume one lead time applies to every order.
Submit quantities and receipt plans together
Provide total metres, required stages, destinations and expected use dates. For multiple destinations, identify quantities for each location. Ask for the quotation’s cost scope so comparisons use the same basis.
Add the required fabrics on the VTEX website and enter business details once. Describe delivery stages in the additional requirements field. VTEX will discuss supply after receiving the enquiry; submitting it does not confirm an order.
