Choosing a reliable hotel fabric supplier: What to check

To choose a reliable hotel fabric supplier, examine how they present information and handle a specific enquiry. An attractive catalogue or sales pitch cannot replace checking fabric codes, samples, quotations and transaction terms.

Start with clear business information

Check the trading entity, contact person and consistency between the information supplied, quotation and order documents. Ask about unclear details before agreeing to transact. Google position or social engagement alone does not establish reliability.

For advertised certifications or capabilities, review the supporting documents and their product scope. Do not assume a general certification applies to every fabric code in the catalogue.

Specifications should identify individual codes

A fabric enquiry should identify composition, GSM, width, colour and surface. Suppliers should distinguish similarly named codes and clarify which details are confirmed. Discuss missing information separately rather than substituting another product’s specifications.

For example, VTEX T250 CVC comes in 240/260/280cm widths, while T300 CVC comes in 260/280cm. Both offer plain white and white 3cm stripes, but differ in composition and GSM. T233 Cotton is plain white only at 240cm. Distinguish these details when requesting prices.

Reference samples need identification

Record the code, colour, surface and required specifications when reviewing samples. State any need to match existing bedding. Website images aid browsing; screen colours should not be the sole basis for material decisions.

If assessment under your facility’s use or laundry process is needed, discuss samples and the assessment method first. Do not infer shrinkage, colourfastness or wash cycles from the material name without relevant data.

Compare quotations for the same requirement

Send suppliers the same specification covering the code or material requirement, width, colour, surface and metres. Clarify included charges, delivery area and intended timing. Prices per metre are comparable only when specifications and quotation scope align.

A lower price does not automatically establish suitability, and a higher price does not establish quality. Review samples, product information and agreed terms rather than relying on “cheapest” or “best” claims.

Review enquiry and follow-up processes

Before ordering, agree on delivery identification, quantity checks and discrepancy reporting. Retain the quotation and confirmed specifications so purchasing, warehouse and workshop teams use the same reference. Do not assume stock or fixed delivery dates without confirmation.

VTEX lets businesses select multiple fabric codes and enter specifications and contact details once. A confirmation reference appears after successful saving. This starts a supply discussion; it does not confirm an order.
