Working with multiple fabric suppliers: Keep specifications and quotations consistent
When working with multiple fabric suppliers, maintain a shared requirements brief while keeping each supplier’s codes distinct. The same Cotton, CVC or Microfiber label does not establish interchangeability.
Use one requirements brief as the reference
Record intended use, required composition, GSM, width, colour, surface and metres. Mark undecided criteria for discussion rather than copying one supplier’s catalogue and treating it as an agreed requirement.
Send the same version to each supplier. When a criterion changes, update the brief and identify quotations that need revision. Do not compare an old price for one specification with a new price for another.
Cross-reference codes without merging them
Place internal references alongside each supplier’s original code and name. Add specifications, reference samples and assessment status. An option under review should not be recorded as an approved substitute.
For example, T200 is one unified Microfiber 120gsm line. Use the T200 name for this unified 120gsm range. The same code discipline supports comparisons across suppliers.
Separate quotations, availability and orders
Record when a quotation was received and the supplier’s stated terms. Track confirmed quantities, schedules under discussion and agreed orders separately. A quotation email does not automatically reserve material for an order.
Compare the same cost scope and delivery destination. Explain sample or specification differences before deciding which proposal fits.
Keep records for reorders and discrepancy handling
Keep the selected sample, code, specifications and transaction confirmation together. Use that supplier’s order record when receiving goods rather than comparing one supplier’s delivery with another’s sample.
When evaluating VTEX as an additional source, share the current requirements and purchasing purpose. Select multiple codes on the website and enter contact details once to discuss the relevant options.
