Material purchase planning / VTEX
Planning staged fabric purchases for workshops and distributors
Staged fabric purchases should follow workshop material needs or distributor sales plans. Specify which codes, metres and receipt dates are needed in each stage rather than only providing one total quantity.
Separate forecasts from confirmed orders
List code, colour, surface and width by stage. Distinguish confirmed production orders from forecasts so the supplier can identify immediate requirements and indicative plans.
Do not automatically turn a forecast into a purchase commitment. If advance preparation is required, discuss how each stage is confirmed, response timing and conditions for plan changes.
Review usable materials already available
Record existing fabric separately from ordered material not yet received. Count stock towards a plan only where code, specifications and suitability match the finished product. Different widths or colours should not be treated as interchangeable totals.
A planning formula is: additional purchase requirement = calculated material need − allocatable material − timely scheduled receipts. Review negative results before placing new orders. This is a planning method, not a universal wastage allowance.
Create a line for each delivery stage
Each line should state code, specifications, metres, destination, required timing and confirmation status. Use consistent naming when one code is split across deliveries to avoid accidental duplicate codes in purchasing and warehouse records.
Assign responsibility for updates. When requirements change, communicate the specific revision and request reconfirmation of affected dates rather than leaving several versions in use as final plans.
Discuss the supply schedule with VTEX
Submit total requirements and individual stages, distinguishing fixed deadlines from negotiable timing. VTEX checks supply by code and specification; use the delivery schedule as an agreed reference only after confirmation.
The website accepts multiple products in one enquiry. For one code delivered in stages, enter total metres on its product line and describe the stages in the additional requirements field rather than creating duplicate code lines.
